About The Position

The Administrative Office Manager is responsible for overseeing the daily operations of the office, ensuring a productive, organized, and efficient work environment. This role combines administrative support duties with office management responsibilities, supervising administrative staff, managing office resources, and serving as a key point of contact for internal and external stakeholders.

Requirements

  • Associate’s degree required, bachelor’s degree in business administration, management, or a related field preferred.
  • 3–5 years of experience in administrative support, office coordination, or office management roles.
  • Proven experience managing administrative functions and supervising staff.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent communication (oral and written) and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software (e.g., QuickBooks, SAP, SharePoint, or equivalent).
  • Ability to work independently and collaboratively across teams.

Nice To Haves

  • Experience with basic bookkeeping or finance administration.
  • Knowledge of HR practices (onboarding, records retention, scheduling interviews).
  • Project coordination or light project management experience.
  • Experience in industries such as construction, manufacturing, professional services, or healthcare is a plus.

Responsibilities

  • Manage and oversee daily administrative operations and office workflows.
  • Supervise and support administrative and clerical staff, including assigning tasks, monitoring performance, and conducting evaluations.
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Develop and maintain office procedures, filing systems, and organizational practices.
  • Manage office budgets, expenses, vendor relationships, and supply procurement.
  • Organize meetings, appointments, travel arrangements, and company events.
  • Maintain office safety protocols and ensure compliance with health and safety regulations.
  • Serve as a liaison between departments, staff, vendors, and external partners.
  • Assist leadership with administrative tasks such as reporting, correspondence, presentations, and special projects.
  • Implement and maintain records management systems, both paper and electronic.
  • Handle sensitive information confidentially and professionally.
