About The Position

The WVU Cancer Institute (WVUCI) is seeking a detail-oriented Administrative Manager to support the development and growth of the WVUCI-wide Cancer Control and Population Science (CCPS) Research Program, one of three research programs integral to WVUCI’s goal of becoming a National Cancer Institute (NCI)-designated cancer center. Qualified candidates will support the Associate Director of Cancer Control and Population Science with research project management and administrative tasks; supervise all CCPS staff; organize and manage all required CCPS meetings, retreats, and seminars; support the Institute Director; and provide strategic leadership and management support to various committees. This position will oversee all aspects of program management and research project implementation for specified grants, subcontracts, or other projects; manage day-to-day programming; develop and submit IRB protocols; manage grant application processes, budgets, and progress and continuation reports; and recruit, maintain, and supervise a program team to meet all deliverables. Duties may include other CPC or WVUCI projects and responsibilities as assigned. The position will build relationships and increase research collaborations with strategic partners, including researchers, community members, public health agencies and programs, health systems, and other academic institutions and cancer centers from within the state and across the nation. Requirements

  • Master's degree (e.g., MS, MPH, MHA) in appropriate discipline: public health, epidemiology, behavioral science, health care administration, health communication, social psychology, social work, health education, or related field.
  • A minimum of seven (7) years of experience in the following:
  • Health-related research management or health-related project management.
  • Experience managing complex, multi-year research projects, including planning, execution, and evaluation.
  • Proven ability to lead and manage a team, including setting goals, providing guidance, and evaluating performance.
  • All qualifications must be met by the time of employment.
  • Knowledge of cancer prevention and control research, priorities, and programs.
  • Knowledge of state, federal, and foundation grant opportunities and experience with research grant writing.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of and experience using research software and databases such as REDCap, Qualtrics, EndNote.
  • Experience using statistical software such as SAS, SPSS, STATA, R.
  • Knowledge of Institutional Review Board (IRB) procedures and ability to develop and submit IRB protocols and packages.

Responsibilities

  • Provide meaningful strategic and technical expertise to the Associate Director for CCPS and the Institute Director in the areas of cancer prevention and control research administration, project planning, and management.
  • Prepare and submit new funding proposals and ensure the continuation of existing programs, grants, and contracts.
  • Develop and manage the strategic plan for the CCPS component of the CCSG competitive application, including progress reports and other information requested by the NCI.
  • Establish and maintain positive working relationships with CCPS Research Program faculty members and staff at WVUCI and at other cancer centers in the U.S.
  • Assist CCPS Research Program members with data collection and data analyses for new and ongoing research projects.
  • Provide administrative support (e.g., scheduling, spreadsheet development and maintenance, data management, project management) to CCPS Research Program members to support the development and submission of research grant applications.
  • Collaborate with external partners to effectively promote WVUCI and CCPS research initiatives at the state, regional, and national levels.
  • Engage with the WVUCI Cancer Biology Research Program and the WVUCI Experimental Therapeutics Research Program to identify opportunities for inter-programmatic collaboration.
  • Participate in selected WVUCI disease-oriented groups to stay abreast of clinical trial enrollment and identify opportunities for collaborations between basic research, clinical research, and population science.
  • Assist with IRB protocol development and submission.
  • Assist with the development of scientific manuscripts, abstracts, posters, and presentations to disseminate CCPS research findings and communicate impact.
  • Set priorities and goals, identify new and shared approaches to ensure efficient execution within budget constraints, and assesses fiscal and resource requirements.
  • Troubleshoot challenges while simultaneously identifying methods for improvement.
  • Manage the design, implementation, and maintenance of data systems and tools to ensure that all CCPS Research Program documentation is complete and accurate.
  • Analyze CCPS Research Program progress, assess strengths and weaknesses, and develop and implement strategies to improve outcomes and deliverables.
  • Represent WVUCI and/or CPC at state, regional, and national meetings and conferences.
  • Support organizational leadership by providing strategic guidance, coordinating administrative functions, and ensuring the seamless execution of management objectives to drive overall operational success.
  • Coordinate and streamline communication between leadership and various departments and programs to ensure clarity and alignment.
  • Propose and implement solutions to improve operational efficiency and resource management.
  • Recruit, hire, train, and assess performance for all CCPS staff and students.
  • With CCPS growth, strategically oversee and manage all CCPS support staff and students (Undergraduate, Graduate, and Post-Graduate programs) to ensure effective performance, collaboration, and alignment with organizational goals, fostering a productive and supportive work environment.
  • Develop and implement staff training and development programs to enhance skills and productivity.
  • Monitor team performance and provide constructive feedback to drive continuous improvement.
  • Conduct regular performance evaluations and address areas for growth and development.
  • Ensure proper delegation of tasks and responsibilities to optimize workflow and efficiency.
  • Serve as a lead in developing and managing a strategic database of CCPS-related NCI-required documentation, including meeting minutes, all internal and external advisory committee reports, etc.
  • Ensure data accuracy, integrity, and consistency while developing key metrics and performance indicators to maximize and improve the overall effectiveness of the CCPS component of CCSG application.
  • Organize and manage logistics for CCPS Research Program meetings, retreats, and seminars and keep accurate documentation of program meetings for the CCSG application.
  • Facilitate communication and partnering efforts between WVUCI Office of Community Outreach and Education, CCPS Research Program members, other WVUCI Research Programs, etc.
  • Manage budgets, resources, and vendor relationships to deliver high-quality events within financial constraints.
  • Participate in Cancer Prevention and Control (CPC) activities.
  • Participate in the implementation of the mission, vision, and strategic plan of WVU Cancer Institute (WVUCI), Department of Cancer Prevention and Control (CPC), and the Office of Community Outreach and Education.
  • Attend statewide initiatives such as Mountains of Hope, community events, and partner collaborations, etc.
  • Function as a member of the CPC staff and participate in staff meetings, required conferences, training seminars, program meetings, regular team meetings, etc. Includes conferences and training seminars provided by the WVUCI, Mountains of Hope Cancer Coalition, and other relevant entities.
  • Represent WVUCI and/or CPC at state, regional, and national meetings, and conferences.
  • Submit articles, abstracts, and posters to promote programmatic work and outreach of CPC.
  • Seek and apply for additional funding opportunities for WVUCI and CPC projects.
  • Collaborate with other WVUCI and CPC staff and programs to extend the reach of CPC.
  • Participate in and contribute to regular CPC staff meetings.
  • Assist with other CPC program activities as requested by leadership.
