About The Position

The Administrative Generalist supports the Integrated Communications & Stakeholder Engagement (IC&SE) department by managing a wide range of administrative, financial, and operational functions. Acting as the department's representative for administrative matters, this role ensures smooth operations across multiple workstreams, supports leadership in executing departmental priorities, and fosters collaboration with internal and external stakeholders.

Requirements

  • HS Diploma/GED and 11 years of experience or AA Degree and 7 years of experience.
  • Must be a current Ingalls Shipbuilding employee.

Nice To Haves

  • Minimum 3 years of administrative experience supporting a team, department, or multi-functional environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with managing spreadsheets and reports.
  • Strong organizational and time management skills with the ability to handle multiple tasks and priorities simultaneously.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Demonstrated problem-solving and decision-making skills in a fast-paced environment.
  • Familiarity with Monday.com, ServiceNow (SNOW tickets), SharePoint, or other project management and collaboration tools.
  • Basic accounting knowledge and experience with budget management, invoice processing, or expense reporting.
  • Experience supporting cross-functional teams and managing logistics for events, visits, or VIP activities.
  • Prior experience tracking and reporting on departmental budgets, sponsorships, or community contributions.
  • Understanding of Command Media standards or compliance-driven environments.

Responsibilities

  • Serve as the department's representative on administrative matters, recommending, interpreting, and implementing company and departmental policies and procedures.
  • Act as the primary point of contact for IT (ServiceNow tickets), logistics, HR coordination, and other operational needs.
  • Manage day-to-day administrative functions, including scheduling, ordering supplies, travel arrangements, and maintaining department databases.
  • Manage the department's budget and expenditures.
  • Act as a liaison between vendors, finance, and department managers to ensure accurate and timely financial transactions.
  • Provide administrative and logistical support to a variety of IC&SE branches.
  • Ensure departmental adherence to Command Media standards and company compliance policies.
  • All other duties as assigned.
