About The Position

Glassical Designs is seeking a highly organized and detail-oriented Administrative & Financial Coordinator to support day-to-day operations. This role combines administrative coordination with financial processes and requires someone who is comfortable managing invoicing, tracking payments, and helping maintain organized financial records. The position also supports company leadership with administrative coordination and helps ensure communication and organizational tasks across the team run smoothly. This is a dynamic role that touches many parts of the business and requires someone who is proactive, organized, and comfortable working across multiple functions.

Requirements

  • Strong organizational and time-management skills
  • Experience handling invoicing, billing, or accounts receivable processes
  • High level of attention to detail and accuracy
  • Strong written and verbal communication skills, and must be able to type
  • Comfortable coordinating with multiple team members and managing priorities
  • Professional, dependable, and proactive work style

Nice To Haves

  • Experience with bookkeeping or accounting systems (QuickBooks or similar)
  • Prior experience in administrative coordination, office management, or operations support
  • Experience supporting executives or leadership teams

Responsibilities

  • Prepare and send client invoices
  • Record and apply incoming payments accurately
  • Maintain accounts receivable records and monitor outstanding invoices by emailing and calling about past due invoices.
  • Coordinate with sales and sales support teams regarding billing, orders, and payment status
  • Maintain organized financial documentation and records-Also familiar with reconciling accounts
  • Assist with general administrative tasks supporting business operations
  • Coordinate internal organizational tasks across departments
  • Communicate with sales and support teams to keep projects and processes moving efficiently
  • Maintain organized files, records, and documentation
  • Provide administrative support to company leadership as needed
  • Schedule meetings and coordinate calendars
  • Arrange travel when required, including booking flights and accommodations
  • Assist with operational coordination and special projects
