This position offers an exciting opportunity to join the Academic Affairs Department team at the College of Osteopathic Medicine of Touro University California. The role involves close collaboration with departmental leaders to support all members of the department, as well as students, faculty, and staff across the campus. The successful candidate will be required to learn and utilize multiple software platforms, navigate university regulatory frameworks, and manage complex administrative tasks efficiently. This includes data entry and collaboration on various departmental projects. The position is integral to ensuring smooth operations within the department and requires a proactive approach to problem-solving and organization. The responsibilities of this role encompass a wide range of administrative tasks, including scheduling and coordinating appointments and meetings, maintaining departmental and campus calendars, and keeping accurate minutes of meetings. The candidate will also be responsible for preparing various forms of communication, such as memos, emails, reports, and other correspondence. Writing and editing documents, including Dean's letters, will be a key part of the job, along with creating and maintaining both electronic and physical filing systems. The ability to utilize mail merge and assist with data entry and editing as needed is essential. In addition to these core responsibilities, the position requires strong computer skills, particularly familiarity with SmartSheet, relational databases, SQL, or MS Access, although these are preferred rather than mandatory. The candidate will engage in verbal and written correspondence with students, faculty, and staff, and will need to learn and operate various software programs used by Touro University, including Office 365, CANVAS, Teams, and Zoom. The role also involves assisting with budget management for the Academic Affairs department, processing reimbursements, and coordinating logistics for significant events such as Match Day, Orientation, and Graduation.
