Our team solves tough, meaningful problems that create a safer, more secure world. Raytheon’s Integrated Solutions Modeling & Architecture (ISMA) is seeking an Administrative Coordinator. The Assistant will provide administrative support to department leaders and staff, and will be expected to work with others, building and maintaining relationships. The Assistant should be an effective communicator; someone who is aware of and responsive to the needs and concerns of the leadership team and team members. A faster-than-average pace will be the norm for this position and a high attention to detail is critical, as work will often need to be handled quickly, correctly, and efficiently under general supervision, even when shifting circumstances might demand a reprioritization of tasks. Following up carefully, closely, and respectfully is required to ensure quality work products are delivered. This is an onsite role located in Woburn, MA. What You Will Do Provide administrative support to the group’s leadership team and employees. Collaborate and support all other administrative teams within the organization when necessary. Maintain leaders’ calendar for meetings, events, offsites, conferences, and travel. Answer routine questions on policies and procedures as it relates to the administrative performance, including travel and expense reporting, group meals, etc. Coordinate internal meetings and functions, including arranging for visitors and ordering catered food. Facilitate meetings and drive slides or other material for zoom and/or in-person formats. Assist leadership team with travel arrangements and expense report processing to align with company policies and procedures. Handle new employee onboarding requirements as needed. Coordinate office moves within the Business Unit when required. Assist in maintaining company document repositories. Order office supplies and maintain stock. Coordinate and participate with other administrators across the business to build rapport and foster a unified environment. Provide support, guidance and/or drive for evolving business changes, process improvements and the like. Perform other administrative and clerical duties as assigned. Respond to complex email and phone inquiries professionally. Assist lower-level staff in gathering, verifying, and processing documentation. Review data entry and maintain accurate records. Create and prepare reports for management. Safeguard the confidentiality of Raytheon by exercising discretion in communicating information to internal staff and external partners. Work logistics around the classified conference rooms and classified VTC rooms. Requirements

  • Typically requires an AA/AS degree, Technical/Business School Certificate (or other 2-year post high school training) with a minimum of 4 years of relevant experience.
  • Experience with Microsoft Office - Outlook, Excel, Word and PowerPoint, SharePoint, Calendar management, Scheduling and Teams.
  • Great attention to detail, excellent organizational skills and attention to detail.
  • Ability to multitask effectively, with excellent interpersonal skills.
  • Ability to obtain Interim Secret U.S. government issued security clearance is required prior to start date.
