Duke Health Integrated Practice Duke Health Integrated Practice comprises more than 110 primary and specialty outpatient clinics, extending the reach of the Duke Health mission across the state of North Carolina. We are seeking an Administrative Coordinator to provide comprehensive administrative support to the Department Chair and Physician-in-Chief of Duke Children’s Hospital within the Department of Pediatrics.

Requirements

  • Work requires a general business background generally equivalent to a bachelor's degree in a business related field.
  • Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.
  • A master's degree in a business related field may be substituted for 2 years experience.
  • OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
  • Working with different systems (MS Office suite, financial systems like Concur, etc.), administrative management of calendaring and correspondence for senior physician leader using Outlook or other tool.

Responsibilities

  • Provide calendar/scheduling management.
  • Oversee communications to and for Department Chair.
  • Manage expense reporting and reimbursement processes for the Department Chair/Physician-in-Chief of Duke Children’s Hospital, including preparing and submitting reports through Concur.
  • Provide administrative support in facilitating senior leadership searches (Department Vice Chairs and Division Chiefs).
  • Serve as the departmental liaison with administrative personnel regarding University policies, grant administration, and budgetary procedures. Interpret and apply departmental policies to resolve operational issues, make decisions, and issue guidance on behalf of department and division leadership.
  • Assist and provide support for departmental projects, events and retreats, which include compilation and preparation of budget expenditures, working with vendors, monitor and verify expenditures, ensuring compliance with University policies and procedures.
