About The Position

As an Administrative Coordinator, you will provide essential administrative and operational support to ensure efficient office operations, exceptional customer service, and seamless project coordination. This role involves managing incoming calls, maintaining accurate customer accounts and data entry, and tracking jobs from creation through completion. You will work closely with the Sales, Service, Installation, and Accounting teams, utilizing tools such as DocuSign, Excel, and SharePoint to manage contracts, documentation, reports, and workflows.

Requirements

  • Bachelor’s Degree in Business, Marketing, Communications, or related field
  • Excellent communication skills both written and verbal
  • Full professional working proficiency in the English language
  • Proficiency in the Microsoft Office Suite
  • 4+ years’ experience working in a professional support or administrative based role

Nice To Haves

  • Proficiency in TriangulumAI and ABM preferred

Responsibilities

  • Receive incoming customer inquiries via phone and email and prioritize them appropriately to ensure critical issues are addressed promptly
  • Set up, maintain, and update customer accounts to ensure accurate data entry and documentation
  • Assist with tracking projects through completion, including current status, timelines and pricing
  • Maintain organized digital and physical filing systems, records, spreadsheets, and sales reports
  • Prepare, send, and manage contracts and documentation using tools such as DocuSign, Excel, and SharePoint
  • Collaborate with the Accounting Department on invoicing, billing, permits, compliance (including OLIES), and related tasks
  • Assist with general office administration, coordinate internal events and employee celebrations
