About The Position

The Administrative Coordinator directly supports the successful implementation of simultaneous strategic priority projects and initiatives by providing administrative support. This role will be essential for completing the administrative tasks that are involved in implementing the strategic priorities that lay ahead for the St. Johns ambulatory departments. Additionally, this role will provide administrative support to the ambulatory departments responsible for organizing, coordinating, and completing necessary forms, applications, requests, etc. This person will need to be detail oriented, very organized, multitasker, able to work in a fast paced and dynamic environment.

Requirements

  • High school diploma/equivalent required.
  • At least 3 years of progressive experience in an administrative role including project management responsibilities.
  • Proficient in the use of Microsoft Office Suite and other computer applications.
  • Basic knowledge of general accounting principles including purchasing and budgeting required.
  • Must demonstrate good technical writing skills, excellent communication and organizational skills.
  • Ability to work under minimal supervision required.
  • Must be able to work both independently and within a team using appropriate CQI tools.
  • Required to work in an environment where access to and control of confidential information is of a high priority.
  • Valid Florida or Georgia Driver License with a clean record, or violations not exceeding maximum points as provided in hospital policy

Responsibilities

  • Provides administrative support for the development, implementation, and evaluation of assigned projects
  • Follows processed, such as preparing applications, to establish new accounts with vendors, when needed. Completing and submitting applications to support ambulatory operations (such as operating permits, CLIA licenses, etc).
  • Manages the renewal time frame and renewal process to support ambulatory operating licenses and permits.
  • Coordinates recurring activity in support of employment agreements (not performing the work but coordinating the activity)
  • Coordinates ambulatory wide communication efforts, such as email communication or newsletters
  • Coordinates and manages the dissemination and inventory of branded items and promotional tools
  • Utilizes electronic information management systems to facilitate work assignments and provide support for projects, where needed
  • Arranges meetings among the ambulatory team and disseminate meeting materials
