The Administrative Coordinator works under the administrative direction of the Office Manager and is responsible for academic administrative needs of physicians and APRNs for the section of Hematology Oncology. This position receives/processes or routes patient-related calls and inquiries for patients and coordinates general office procedures. The Administrative Coordinator will assist the Office Manager with special projects and works closely with other support staff.

Requirements

  • Bachelor’s degree plus two (2) years of general administrative office support experience or Associates degree plus four (4) years of general administrative office support experience or High School diploma/GED plus six (6) years of general administrative office support experience required.

  • Excellent oral and written communication skills.
  • Ability to work under deadline pressure.
  • Strong working knowledge of Microsoft Office.

Responsibilities

  • Coordinates office activities with the office manager and other professional staff within and outside the assigned unit.
  • Assists with updating the system that is used for Hematology scheduling and submits clinic modifications to ACH to communicate changes to physician schedules.
  • Maintains UAMS monthly on-call physician schedules and communicates the call schedule with ACH Kid First group.
  • Gathers information for credentialing for the Pediatric Hematology Faculty.
  • Oversees completion of the Time and Effort forms for the Pediatric Hematology section.
  • Updates Pediatric Hematology faculty profiles on the UAMS website.
  • Enters requisitions/travel in Workday for Pediatric Hematology faculty physicians.
  • Management of IT inventory in the Pediatric Hematology Sections.
  • Assist with didactic meetings and organizing meetings for residents.
  • Requests privileges for department access to various programs and folders for faculty
  • May perform other duties as assigned.
