Job Description The Administrative Support Specialist plays a key role in supporting daily manufacturing operations through administrative coordination, logistics support, and office management. This position serves as a central point of support for leadership, shipping and receiving, inventory control, and general office operations. The role is part‑time with flexible scheduling and offers opportunities for growth within the company.

Requirements

  • Proficiency in administrative support and data entry.
  • Strong administration and clerical skills.
  • Bilingual proficiency in Spanish.
  • Proficient in Microsoft Office Suite.
  • Excellent organizational skills for filing and maintaining records.
  • Ability to schedule appointments and manage time effectively.
  • Basic accounting skills.

Responsibilities

  • Manage strategic activities, tactics, planning, and execution of the manufacturing facility.
  • Process UPS/Unishippers small package shipments.
  • Utilize GlobalTranz shipping portal for processing LTL shipments.
  • Generate and prepare E2 Packing Lists for small package and LTL shipments.
  • Coordinate with approved partial and full truck load brokers and AWI Transportation department for shipping finished products.
  • Generate Purchase Orders in the E2 shop management system.
  • Order manufacturing supplies using online and local vendors.
  • Track receiving of deliveries in the E2 system.
  • Maintain manufacturing supplies storeroom, ensuring stock levels and organization.
  • Oversee monthly inventory counting of raw materials and finished products.
  • Assist with safety program administration, including communications, training, tracking, and inspections.
  • Prepare expense reports.
  • Oversee records retention program.
  • Assist with onboarding new employees.
  • Plan and organize events.
  • Receive, process, and distribute all internal and external mail.
  • Maintain inventory of office supplies.
  • Answer the main phone line and greet visitors.
  • Oversee visitor log and sign-ins/outs.
  • Provide administrative support for General Manager and Operations Manager as needed.
  • Perform additional administrative tasks as required.
