About The Position

The Administrative Coordinator plays a vital role in supporting various corporate functions at Vestis Services, including Finance, Payroll, Human Resources, DOT Compliance, Legal, and Labor Relations. This multi-faceted position requires collaboration among Administrative Coordinators to ensure all responsibilities are effectively managed and completed in accordance with company policies and collective bargaining agreements.

Requirements

  • 1-5 years of work experience preferred.
  • Strong oral and written communication skills.
  • Ability to develop and maintain positive working relationships.
  • Detail-oriented with strong organizational skills and ability to multi-task.
  • Experience with Microsoft Suite, specifically Excel, required.
  • Experience with Oracle Business Suite is a plus.

Nice To Haves

  • 2-year degree preferred but not required.

Responsibilities

  • Support the Payroll Group Processor in processing weekly payroll, including tracking time and attendance and reporting commissions.
  • Forward and post notices from management regarding Company Policy, Payroll, HR, and Compliance practices to employees.
  • Review and maintain the time and attendance system.
  • Implement new administration procedures and maintain employee personnel files and compliance records as directed by HR and Finance.
  • Support New Hire Orientation and compile New Hire packets according to Central Office Guidelines.
  • Review and maintain Management Reports, including Gain & Loss reports and monthly inventory.
  • Support accurate inventory counts and safety reviews.
  • Support daily office functions, including ordering supplies and managing front desk responsibilities.
  • Support the billing function by printing invoices and sending billing-related information to the Billing Hub.
