About The Position

The Administrative Coordinator position at Oregon Health & Science University (OHSU) provides essential administrative support to the Education team within the Department of Surgery. Requirements

  • Four years of general office or secretarial experience; OR an Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR a Bachelor's degree and two years of general office or secretarial experience; OR an equivalent combination of training and experience.
  • Experience in composing correspondence, editing and proofreading documents, and scheduling appointments.
  • Skills in MS Office Suite (Word, Excel, PowerPoint, Adobe Acrobat, Outlook) and virtual meeting software (WebEx, Zoom, Skype).
  • Ability to accurately type 55 wpm.
  • Strong organizational skills and ability to work effectively with management and employees.

Nice To Haves

  • Preferred skills in Smartsheet, SharePoint, Teams, Qualtrics, or other survey software.
  • Experience in Learning Management System administration or support.
  • Demonstrated ability to work in a flexible and fast-paced work environment.

Responsibilities

  • Respond to inquiries in the Surgery Education Outlook inbox.
  • Update and maintain an internal SharePoint website.
  • Act as the primary role for the residency management system (MedHub).
  • Support resident simulation education by scheduling and coordinating updates to curriculum and evaluations.
  • Maintain records for required certifications such as ACLS and Robotic Assisted Surgery.
  • Maintain Outlook calendar appointments for scheduled activities.
  • Reconcile and maintain resident activity metrics for accreditation purposes.
  • Assist with resident activities and events both virtually and on-site.
  • Backup Administrative Coordinator to Program Director.
  • Conduct basic office tasks such as filing, copying, and mail sorting.
  • Aid Medical Student Coordinator with data entry and coordination of medical students on rotations.
  • Assist with medical student events and serve as backup to Medical Student Coordinator.
  • Coordinate and implement the administrative process for faculty educational activity metrics.
  • Schedule room reservations for annual activities and maintain educational activity metrics via Smartsheet.
  • Recruit and schedule faculty for educational activities.
