The Administrative Coordinator to the CEO provides high-level, multi-faceted, and comprehensive administrative support to the CEO to assist the CEO in efficiently and effectively managing all tasks, processes, projects, stakeholders (internal and external), and communications related to the daily work and responsibilities associated with the role of the CEO. PRIMARY ROLE AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO: Support the work of the CEO to ensure that organizational goals are achieved. Follow-up and track all CEO-level tasks/projects: o Maintain a central list of CEO-priority projects and initiatives. o Track for each project. o Conduct routine follow-ups with internal and external stakeholders on behalf of the CEO to confirm progress. o Identify when projects are stalled, delayed, or unclear and alert the CEO promptly. o Escalate issues to the CEO when necessary. o Prepare clear, concise status updates for the CEO. o Participate in tasks/projects coordination meetings with the CEO. Act as a liaison, where required, between the CEO and all assigned stakeholders (internal and external). Handle routine inquiries directed to the CEO and route issues appropriately. Prepare reports, spreadsheets, presentations, and documents as requested. Manage on behalf of the CEO, assigned special projects and deliverables. Compose correspondences when required. Assist with the preparation of Board and executive meetings, including document preparation. Schedule and coordinate CEO meetings. Perform travel arrangements and reservations for the CEO where required. Provide Receptionist Support where needed. Interact with Senior Management Team and staff to optimize workflow efficiency. Help promote a company culture that encourages top performance and high morale. Follow all Policies and Procedures of SCCP. Participate in all SCCP mandatory and CMS regulatory training. Attend all staff meetings – in person or telephone (if unable to attend, responsible for knowledge of content). Abide by all SCCP information security policies, procedures, protocols, and practices. Participate in regular information security management trainings. Develop a comprehensive understanding of SCCP information security policies. Learn to recognize information security risks and report them when they are identified. Abide by SCCP principles and policies related to confidentiality.
