About The Position

NYU Langone Hospital—Suffolk is a 306-bed medical center, providing care to residents of eastern Long Island. The hospital facility is home to the Knapp Cardiac Care Center—an advanced heart disease diagnostic and treatment facility—as well as a modern ambulatory surgical pavilion with specialized services including women's imaging, a sleep laboratory, and bariatric surgery. Our Provisional Level 2 Trauma Center delivers comprehensive and specialized care for patients with traumatic injuries. The Stroke Center at NYU Langone Hospital—Suffolk is designated by the New York State Department of Health as a Primary Stroke Center, with expert neurologists available to provide treatment 24 hours a day, 7 days a week. Additionally, NYU Langone Hospital—Suffolk has multiple outpatient sites, including an outpatient wound care center, a hemodialysis center, and various primary care and specialty offices. We have an exciting opportunity to join our team as an Administrative Coordinator - Radiology - Full Time Days. In this role, the successful candidate is responsible for managing diverse and confidential projects and performs administrative duties requiring broad and comprehensive experience, skill and knowledge of the institution's policies and practices to support department director and/or manager.

Requirements

  • High School Diploma required; Bachelor's preferred.
  • 1 - 3 years in an administrative support role or related experience.
  • Excellent communication (both oral and written), interpersonal, detail-oriented, organization, project coordination, customer service and multitasking skills.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.

Nice To Haves

  • 3-5 years supporting a manager or director.
  • Notary Public.

Responsibilities

  • Supports director with administrative detail on various assigned projects and the administration of the day-to-day operations.
  • Completes project and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, and making adjustments to plans.
  • Resolves routine and complex inquiries.
  • Responds independently and/or drafts response for director’s review to correspondence.
  • Gathers information and follows up with appropriate staff on behalf of director.
  • Screens incoming mail, email, and telephone communication and in-person inquiries from vendors and colleagues.
  • Identifies, follows up, and tracks requests of great importance which require immediate attention including contracts, reports, memos, and other documents as needed in a timely and accurate manner.
  • Coordinates production and distribution of related project material as required.
  • Prepares meeting notices, reports, and agendas, notifies attendees, and resolves scheduling conflicts.
  • Records and tracks meeting minutes and follow-up items.
  • Ensures timely resolution of critical issues and other matters when needed.
  • Ensures compliance with any record retention procedures.
  • Develops and maintains appropriate document filing systems (both hard copy and electronic) for easy reference and access.
  • Maintains confidentiality and recommends solutions or actions required.
  • May have budget oversight as directed.
  • Monitors supply inventory; orders and stocks all office supplies.
  • Prepares expense reimbursement requests, and maintains office equipment as assigned.
  • Assists with scheduling for patient visits, appointments, treatments, and procedures in collaboration with other areas within the Medical Center.
  • Obtains pre-authorizations/certifications for treatments and diagnostic procedures as appropriate.
  • Provides assistance to less senior staff and covers the front-desk as needed.
  • Responsible for patient check-in and check-out.
  • Gathers all patient demographic related data and materials from patients and/or their representatives.
  • Obtains insurance information, verifies insurance eligibility electronically, takes their picture and asks them to use Patient Secure.
  • Asks patients to verify demographic info and makes any necessary edits.
  • Collects and asks patients to sign patient related documents including HIPAA, MSPQ, ABN, etc.
  • Follows up with patients and/or their representatives, physician offices, etc. to gather missing data and materials in order to complete the intake process.
  • Monitors intake work queue for timely intake completion.
  • Maintains supplies and cleanliness of space, restocks supplies as needed.
  • Notifies supervisor of any shortage of supplies.
  • Maintains and receives files for area.
  • Maintains files in organized and up-to-date manner in order to facilitate their retrieval.
  • Utilizes wheelchairs, stretchers or beds in transporting patients.
