The Administrative Coordinator, Leased Facilities provides operational support to the Maintenance department at leased facilities to include coordinating directly with CoreCivic management and our CoreCivic partner. Independently performs all administrative responsibilities for maintenance in support of department mission. Utilizes Computerized Maintenance Management System (CMMS) to record, disseminate and track labor for facility work orders. Efficiently processes work orders to ensure accurate reporting of asset, labor and contractor costs. Generates, tracks, assigns and updates work orders using internal CMMS. Uses reporting metrics to recommend process improvements to facilities management. Manages supply and equipment requisitions through CMMS with great attention to detail. Provides detailed reporting out of CMMS for the tracking of labor costs and asset values. Receives packages for receipt of equipment. Inventories receivables and processes it out for specific work orders via CMMS. Conducts physical inventories; records and maintains inventory records. Creates and maintains computerized and physical files in an organized manner, to include sorting, labeling, filing and retrieving, in accordance with file retention and storage procedures; maintains confidentiality and security of records. Monitors secure inmate areas to include workshop and tool inventory, informs facilities management of any security concerns. Makes reliable visual identification of inmates/residents, authorized personnel and other individuals to ensure safety and security. Communicates effectively and coherently with staff, inmates and visitors; responds to inquiries and requests or refers to appropriate staff member; answers telephone, routes calls and/or takes messages.

Requirements

  • High School diploma, GED certification, or equivalent is required.
  • Three years of experience in a full-time secretarial or administrative office work is required.
  • Minimum Age Requirement: Must be at least 21 years of age.

Nice To Haves

  • Experience in maintenance or construction field preferred.
  • Additional qualifying education at an accredited college, business school or technical institute in office administration or a related field may be substituted for up to two years of the required experience.
  • Experience with a Computerized Maintenance Management System is preferred.
  • Organizational skills and experience with reporting and records management is preferred.
  • A valid driver's license is preferred, unless required by contract or applicable statute.
