About The Position

This position will serve as the Administrative Coordinator II providing administrative coordination for the center. They will provide support of personnel, finance, and research activities of the center, plan and implement center meetings and events, assist with center promotion, and handle other special projects as assigned by center leadership.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of experience in office administration.

Responsibilities

  • Office Administration Serves as Center Coordinator supporting daily office operations.
  • Assists Center operational staff in updating office policies and procedures.
  • Coordinates activities regarding center facilities (physical office space, storage, and furniture) including submitting and overseeing maintenance requests, coordinating office moves as needed, purchasing, and sending items to surplus.
  • Coordinates activities regarding center assets (computers, laptops, and peripherals) including purchasing, moves/transfers, and sending to items to surplus.
  • Assists with internal event planning including meeting scheduling, and room reservations.
  • Assists with coordination of travel arrangements and reporting.
  • Attend meetings and record meeting notes as needed.
  • Completes local errands in Bryan/College Station as needed.
  • Assists Center operational staff in anticipating situations, problems, and solutions in response to a wide range of issues as they arise.
  • Supervises student workers as needed.
  • Personnel Support Serves as primary point of contact between the center and Human Resources (HR6) department Coordinates all HR related activities on behalf of center faculty and staff including new hires, employee extensions, annual evaluations, and merit-based activities Prepares for and onboards new hires (staff and students) Works with HR to answer general HR-related questions for center faculty and staff
  • Finance and Research Administration Assists with accounts payable and receivable activities including vendor/customer setup, reimbursements (AggieBuy), purchasing (p-card and AggieBuy), invoice creation (iPayment) and invoice payment (Aggiebuy) Ensures center activities are compliant with TAMU policies including procurement, financial management and operations.
  • Assist center research administrators in reviewing costing allocations (payroll) and submitting payroll corrections
  • Center Promotion Assist with center promotional activities including meetings with external partners, conference booths, and other external event planning.
  • Serves as point of contact between center faculty and staff and the School of Public Health website manager.
  • Assists in developing website and social media marketing material.
  • Assists center faculty and staff with updating the center website and posting on social media pages as needed.
  • Respond to ad hoc requests, reporting information, and other issues as they pertain to the Center
