About The Position

The Administrative Coordinator II position at Texas A&M University - Commerce is a vital role within the VP Academic Affairs department, responsible for providing comprehensive administrative support to the university's Institutional Effectiveness and Research offices. This position plays a crucial part in facilitating projects associated with The Texas A&M University System, the Texas Higher Education Coordinating Board (THECB), and the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC). The coordinator will engage in a variety of tasks that require a high level of organization, attention to detail, and the ability to manage multiple responsibilities simultaneously. In this role, the Administrative Coordinator II will be tasked with composing and preparing various forms of correspondence, including memos, reports, promotional materials, spreadsheets, and presentations. The position also involves serving as the receptionist, scheduling appointments, and processing payments, including travel reimbursements. The coordinator will be responsible for making and coordinating travel arrangements, preparing itineraries, and planning meetings, workshops, conferences, and other events. Additionally, maintaining office supplies and inventory of office computer equipment and keys is a key responsibility. A significant aspect of this role includes the transfer of faculty files, including adjuncts, to the Xitracs database, which serves as a source for the faculty roster and includes Faculty Credentialing Inventory (FCI) forms. The coordinator will recommend improvements to administrative processes within Institutional Effectiveness and Institutional Research and provide support to ensure faculty credentialing and updates are maintained and documented in the appropriate software system for SACSCOC compliance. The position also requires maintaining an accurate faculty roster in the Xitracs database and participating in the review process for IE Results and IE Plans. Other duties may be assigned as necessary, making this a dynamic and engaging position within the university.
