About The Position

Provides administrative assistance and office support to the Division Chief of Genetics and Genomic Medicine within the Department of Pediatrics. The role involves anticipating and preparing materials for the Division Chief's conferences, meetings, appointments, and telephone calls. It also requires composing various materials, including letters, memos, confidential reports, and correspondence, ensuring correct format, attachments, spelling, and grammar. The coordinator will note commitments made by the Division Chief during meetings and arrange for their implementation or follow-up. Responsibilities also include scheduling appointments, providing information to callers, and responding to inquiries. The position assists with faculty appointments, tenure and promotion tracking, including organizing letters, packets, and letters of recommendation. Additionally, it provides administrative support for the division, covering quarterly meetings, catering needs, faculty travel reimbursement, professional allowance balance tracking, and other emerging needs. The individual will perform other administrative duties as assigned.

Requirements

  • High school diploma or equivalent high school certification or combination of education and/or experience.
  • Administrative (2 Years) work experience.

Responsibilities

  • Anticipates and prepares materials needed by the Division Chief for conferences, meetings, appointments and telephone calls.
  • Composes a variety of materials, including letters, memos, confidential reports and correspondence with responsibility for format, arrangement of attachments, correct spelling and grammar.
  • Notes commitments made by Division Chief during meetings and arrangefor implementation or follow-up.
  • Schedules appointments, gives information to callers and responds to callers inquires.
  • Assists with faculty appointments, tenure and promotion tracking, including organization of letters, packets, and letters of recommendation.
  • Provides additional administrative support for division including quarterly meetings, any catering needs, faculty travel reimbursement, professional allowance balance tracking, and other needs as they arise.
  • Performs other administrative duties as assigned.
