About The Position

The Texas A&M School of Law is seeking a detail‑driven Administrative Coordinator who excels in managing complex student records, ensuring accurate attendance tracking, timely faculty coordination, and compliance with academic policies. This role will confidently handle transcript requests, registration processes, graduate program support, and the creation of advanced spreadsheets and databases. The ideal candidate is adept at interpreting and applying institutional policies while providing clear, knowledgeable guidance to students, faculty, and staff. The ideal candidate also brings strong administrative judgment, managing sensitive communications, coordinating events and travel, maintaining budgets, and recommending process improvements with confidence. They demonstrate precision in document imaging, troubleshooting systems, and maintaining organized, accessible records. The Administrative Coordinator will also contribute to exam administration with reliability and professionalism, ensuring smooth exam preparation, proctoring, and distribution workflows.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of experience in office administration.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Excellent written communication, analytical, interpersonal, planning and organizational skills.
  • Ability to work with sensitive information and maintain confidentiality.
  • Ability to work independently once given a project.

Nice To Haves

  • 3-5 years of full-time experience in student affairs; student services; registrar, admissions, or similar higher education office.
  • Notary Public or willingness to train and serve as Notary Public.

Responsibilities

  • Coordinates and maintains student attendance records.
  • Collects class rosters and inputs student attendance in database.
  • Coordinates with faculty who have not submitted attendance information and with students who are nearing their maximum allowable absences.
  • Notifies the Associate Dean of Academic Affairs when a student has exceeded their maximum allowable absences and must be withdrawn from class.
  • Prepares final grade rosters for faculty; assists with the review of final grades submitted by faculty to ensure compliance with grade curve; reviews student academic records to ensure satisfactory academic progress and progress to degree completion to prepare letters of good standing & degree completion certifications.
  • Coordinates the maintenance of the Board of Law Examiners log and completes character and fitness submissions to the Board of Law Examiners.
  • Receives and processes requests for transcripts, student registration and drop-add requests, and maintains section waitlists as needed, processes and tracks name changes, dean’s list, academic dismissal, and bar exam scores.
  • Researches and analyzes administrative requirements for student records.
  • Coordinates the processing of graduate registrations.
  • Coordinates the organization of these records as graduate programs at the School of Law expand.
  • Creates and maintains advanced spreadsheets and databases for student records.
  • Explains and applies policies and procedures, and provides technical information regarding administrative procedures, services, or programs.
  • Coordinates daily office support activities and administrative interactions.
  • Coordinates daily workflow and the resolution of complex, highly sensitive and confidential matters.
  • Oversees and responds to Office of Student Services’ general email and voicemail messages.
  • Coordinates travel arrangements and prepares itineraries.
  • Coordinates meetings, seminars, and other special events and may provide on-site support.
  • Provides organizational planning and problem-solving skills.
  • Modifies forms or records as needed.
  • Monitors compliance with registrar-related policies and procedures.
  • Coordinates the maintenance of student files, student records, office supplies, or equipment.
  • Monitors department budget reconciles p-card expenditures.
  • Makes recommendations for process improvements, administrative changes, or new initiatives.
  • Oversees the scanning, verification, retrieval, and logging of student documents.
  • Troubleshoots issues with EIS.
  • Serves on the exam administration team, working to administer JD final exams.
  • Reviews exams and exam instructions submitted by faculty.
  • Prepares exam packets for students.
  • Trains new proctors and proctor's exams.
  • Ensures adequate exam materials before and during exam administration.
  • Coordinates the processing and distribution of exams to faculty for grading.
