About The Position

Purpose: The Administrative Coordinator I provides analytical, reporting, and communications support to the Department Administrator and department leadership. This position will assist with supporting faculty recognition, promotion and review processes, assisting with internal and external communications, and preparing complex data for standardized reporting surveys. Assistance with managing social media for the department. Works closely with the department’s Communications Coordinator and its Administrator in advancing the department’s strategic goals, keeping in line with the department’s standards. This position requires exceptional attention to detail, strong writing and editing skills, discretion with sensitive information, and the ability to manage multiple priorities.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of related experience.

Responsibilities

  • Data Analysis & Reporting Maintain department’s contact information for all deans, department heads, and graduate advisors for computer science and computer engineering. Compile, analyze, and prepare faculty and student data for reports used internally by the college and department. Support faculty recognition and promotion reviews through data preparation and internal review of materials.
  • Faculty Awards and Recognition Draft, edit, and refine faculty award nomination letters and supporting materials. Provide editorial feedback to strengthen packages. Maintain historical records of award submissions, including eligibility requirements.
  • Social Media Draft and schedule social media posts, with particular emphasis on non-research items; highlighting people, events, and student experiences. Identify and source content for social media; assist with managing and maintaining the departmental social media calendar to ensure consistency; Take photos for social media and digital communications; coordinate photo releases with university requirements. Prepare and manage digital signage request for department events and announcements. Assist with access to Live Whale calendar and content tools to support coordinated communications.
  • Writing & Additional Support Assist with drafting, reviewing, and maintaining standard operating procedures (SOPs) and internal documentation. Provide writing and data support for ABET accreditation and Academic Program Review (APRT) processes, including narratives, tables, and supporting materials. Interview faculty and students, prepare drafts of articles.
