About The Position

The Administrative Coordinator provides essential operational, logistical, and administrative support to the Design, Engineering & Construction (DE&C) organization. Working closely with senior leaders across the Americas region, you will enable day-to-day team efficiency by coordinating communication, documentation, scheduling, and project support activities. This role is a key connector between DE&C and cross-functional partners, helping ensure projects stay on track and the team operates with structure and alignment.

Requirements

  • 3-5 years of administrative or coordination experience, ideally supporting engineering, construction, or technical teams.
  • Strong organizational skills with the ability to manage multiple competing priorities.
  • Proficiency with MS Office and collaboration tools such as Teams, SharePoint, and Smartsheet.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong accountability.
  • Ability to work independently and proactively identify issues and opportunities.
  • Comfortable operating in a fast-paced, dynamic environment.
  • Strong interpersonal skills and the ability to support multiple stakeholders.
  • Professional discretion when handling sensitive information.
  • A customer-service mindset with a focus on enabling team efficiency and smooth operations.

Responsibilities

  • Assist with budget tracking, purchase orders, invoice processing, and vendor coordination.
  • Maintain department files, SharePoint/Drive sites, and ensure accurate version control.
  • Facilitate communication and information flow between DE&C and cross-functional partners (Real Estate, Operations, Procurement, etc.).
  • Track key deadlines, deliverables, and action items for active projects.
  • Prepare, update, and organize documentation, presentations, reports, and project tracking tools.
  • Support onboarding of new DE&C employees, including access, equipment, and process orientation.
  • Provide administrative support including scheduling, correspondence, and expense reporting.
  • Complete ad hoc tasks that support operational efficiency and team needs.
