About The Position

This position is responsible for providing coordination of care within the Care Coordination department across the network. The primary role of an Administrative Coordinator helps keep the service line running smoothly by handling all administrative tasks. They coordinate general operations, serve as a point of contact for leadership, employees, vendors, and customers alike, and ensure everything is on schedule to meet or exceed deadlines.

Requirements

  • High School Graduate.
  • 2-5 year’s secretarial background and/or data analytics
  • Excellent secretarial skills; familiar with medical terminology with a strong background in communication and writing skills.
  • Possesses strong organizational skills.
  • Ability to relate positively with all levels of professionals.
  • Ability to work flexible schedules with frequent interruption.
  • Proficient in use of Microsoft Word, Outlook. Excel, PowerPoint, Publisher, and Access.
  • Must be able to quickly prioritize tasks or responsibilities.

Responsibilities

  • Drafts memos and letters and any other necessary correspondence
  • Disseminates information to internal and external stakeholders as directed.
  • Maintains department files by applying necessary data to records/files as required by the department.
  • Interfaces with the Education Department as necessary to maintain accurate files and data.
  • Maintains Department head’s calendar.
  • Sets up meetings with both in-house personnel and outside vendors.
  • Reads and routes incoming mail and physician email.
  • Continually assesses, maintains and orders supplies as needed for the AVP’s office.
  • Participates in projects within the unit and IHN as required by the Department Head.
  • Utilizes and upgrades computer skills as necessary.
  • Serves as a computer resource to the Department Head and other personnel as needed.
  • Schedules meetings - room bookings.
  • Invoice coding/approving
  • Maintains documents and files accordingly.
  • Coordinates holiday schedule for staff upon request
  • Proficient with all Reporting Dashboards
  • Proficient in timekeeping systems
  • Maintains reports on census, visits, and dispositions.
  • Completes IS, IT, and facilities work orders for all departments.
  • Completes all capital requests for departments.
  • Liaison for Agency staffing (timecards, onboarding, and contracts).
  • Ability to coordinate calendars and schedule meetings
  • Ability to provide meeting minutes upon request
  • Maintain record of staff meetings/education and attendance
  • Assist in development of presentation materials utilizing Microsoft Office materials.
  • Assist manager with onboarding of new staff and exit of staff
