About The Position

The Administrative Coordinator for Echocardiography is responsible for managing a range of administrative and operational tasks to support the Cardiac Division within the Department of Anesthesia, Perioperative and Pain Medicine. This role is essential for ensuring the efficiency of daily Echo operations and requires strong collaboration with both administrative and clinical colleagues, as well as external vendors. The position involves significant documentation activities and demands excellent communication skills, attention to detail, and organizational abilities. This is an evening shift role with hours from 11am to 7pm.

Requirements

  • High school diploma or equivalent; Bachelor's degree preferred.
  • At least 2 years of experience in cardiac/vascular preferred.
  • Strong interpersonal and communication skills.
  • Good judgment, dependability, and professionalism.

Responsibilities

  • Prepares documentation for the National Board of Echocardiography for certification/re-certification of fellows/attendings.
  • Organizes division Echo protocols and quality control, liaising with the Intersocietal Accreditation Commission (IAC) for audits.
  • Acts as a liaison between BWH IT/Biomed and vendor's IT to resolve complex issues and maintain equipment.
  • Manages image documentation for departmental educational purposes.
  • Completes database entries for various data support needs.
  • Orders and maintains inventories/supplies for intraoperative echo procedures.
  • Ensures billing compliance for completed studies.
  • Organizes clinical training for faculty on new ultrasound technologies.
  • Completes QA reports for IAC.
  • Sets up echo equipment for cases in the OR, EP lab, Cath lab, and occasionally in the ICU.
  • Assists with machine and TEE/TTE probe set-up during emergencies in the OR or ICU.
  • Ensures compliance with division and hospital policies for equipment and patient safety.
  • Diagnoses and resolves common equipment malfunctions in collaboration with bioengineering teams.
