About The Position

The University of Rochester is seeking an Administrative Assistant to support activities and events related to the graduate and post-graduate level programs of the Marriage and Family Therapy Training Program. This role involves working closely with faculty and administrative staff in an academic setting, requiring good judgment, strong customer relations skills, and excellent organizational abilities. The Administrative Assistant will manage a variety of tasks including recruitment, student education oversight, clinical training support, program evaluation, and event planning.

Requirements

  • College graduation or an equivalent combination of experience and training.
  • 1 year of relevant administrative experience.
  • Proficient in MS Word, MS PowerPoint, MS Outlook, MS Excel, and Windows 7.

Nice To Haves

  • Proficient in navigating the internet and learning new technological platforms.
  • Knowledge of MS SharePoint and Kentico.
  • Experience with UR Student and Procure to Pay systems.
  • Strong organizational skills and customer service orientation.
  • High degree of interpersonal communication skills.

Responsibilities

  • Review applications for program suitability and provide updates to the Director during recruitment.
  • Coordinate logistics for applicant interviews, including virtual interviews.
  • Oversee student registration and manage class schedules.
  • Support faculty in course updates and logistics for orientation sessions.
  • Maintain student files and ensure compliance with ongoing requirements.
  • Manage correspondence related to licensing and prepare necessary documentation.
  • Distribute and collect clinical training site agreements and evaluations.
  • Prepare annual reports and manage program evaluation activities.
  • Plan and coordinate Family Therapy events, including logistics and communications.
