The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The centers provide campus-based direct services and supports at 13 centers located throughout the state. The Administrative Assistant I works under the supervision of the Director of Behavioral Services performing general administrative support duties. Work includes scheduling and taking minutes of the Peer Review Committee and other meetings such as Behavioral Services Discipline meetings, tracking timeliness of behavior support plans and consents, compilation of information related to behavioral services, managing the Behavioral Services office, and completion of general secretarial duties. Works under close supervision with minimal latitude for the use of initiative and independent judgment. Some flex time is required.

  • Proficient in Microsoft Word, Excel, PowerPoint and standard office equipment.
  • Knowledge of Business English, such as spelling, grammar, and punctuation.
  • Ability to communicate information in a clear, effective, and professional manner.
  • Effective typing and proofreading skills.
  • Ability to record minutes of meetings.
  • Time and office management skills.
  • Ability to take and transcribe technical and/or high-volume dictation.
  • Any combination of education equivalent to high school graduation or GED on a year for year basis.

Nice To Haves

  • 2 years of experience in providing administrative/clerical support preferred.
  • Office Management Experience preferred.
  • Proficient in Microsoft Word, Excel, PowerPoint and standard office equipment preferred.
  • Knowledge of Business English, such as spelling, grammar, and punctuation preferred.
  • Ability to communicate information in a clear, concise, and professional manner.

Responsibilities

  • Schedules, coordinates, and takes minutes of the Peer Review Committee and other meetings such as Behavioral Services Discipline meetings.
  • Track timeliness of behavior support plans and consents for the plans.
  • Maintains system to provide detailed information and statistics regarding behavior support plans, psychiatric support plans, and crisis intervention plans.
  • Maintains and manages on-call behaviorist schedule.
  • Manages Behavioral Services office.
  • Completes general secretary duties.
  • Completes assigned projects and supports Director.
  • Actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
