Position Summary HB is seeking an Administrative Associate in our Alpharetta office who will help ensure smooth day-to-day operations while supporting advisors, operations staff, and occasionally clients. This role manages a variety of administrative and operational tasks while maintaining a professional and welcoming environment for clients and visitors.

Requirements

  • Ability to successfully pass criminal background / credit check required
  • Proficient with multi-line phone system
  • Accurate and efficient scheduling skills
  • Highly proficient with the Microsoft Office Suite

  • AA degree preferred
  • Experience with applicant tracking systems a plus

Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for advisors and leadership
  • Welcome guests and clients who arrive for meetings
  • Answer calls and manage general inquires
  • Maintain organized recordkeeping and filing systems
  • Prepare correspondence, reports, presentations, and meeting materials
  • Process courier shipments
  • Order gifts or send cards for client celebrations
  • Schedule internal and external meetings
  • Prepare conference rooms for meetings
  • Arrange for refreshments and food for meetings
  • Handle various administrative requests from colleagues
  • Other administrative duties as assigned
