About The Position

The Administrative Associate V at Texas A&M University-San Antonio provides essential administrative support to the Department of Accounting and Finance to ensure efficient and effective operations. This position is responsible for a variety of tasks essential to the daily functions of the department, contributing to the overall success of the academic and administrative objectives of the college and the university. This position is the first point of contact for students, faculty, staff, and visitors. The successful candidate will demonstrate strong communication skills and will be committed to upholding the university's mission and values. Salary: $17.50 per hour

Requirements

  • High school diploma or equivalent combination of education and experience.
  • Five (5) years of related experience.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong communication, organizational, and time management skills.
  • Attention to detail and ability to handle confidential information with discretion.
  • Strong customer service orientation and the ability to work effectively with faculty, students, and staff.
  • Ability to prioritize and meet deadlines in a fast-paced environment.

  • Bachelor's degree.
  • Proven experience in administrative or clerical roles, preferably in a university or educational setting.

Responsibilities

  • Administrative Support: Provide administrative support to the department chair, faculty, and staff.
  • Manage and prioritize departmental correspondence, emails, and phone calls.
  • Schedule meetings, appointments, and maintain department calendars.
  • Coordinate and support departmental events, seminars, and student-related activities.
  • Records Management: Maintain and organize departmental records, including student files, academic documents, and departmental reports.
  • Assist in the maintenance and retrieval of documents and data.
  • Prepare and proofread departmental documents, reports, and communication materials.
  • Budget and Finance: Assist in budget monitoring, expense tracking, and financial record-keeping.
  • Process departmental invoices, reimbursements, and purchase orders.
  • Facilities Management: Oversee departmental office equipment and supplies.
  • Coordinate maintenance and repairs of office facilities.
  • Collaboration: Foster effective communication and collaboration within the department and across the university.
  • Work closely with other university administrative assistants to facilitate cross-departmental activities.
