The Administrative Associate V provides advanced-level secretarial or administrative assistance on behalf of an academic department or major service unit within the university. Coordinates daily office support activities and administrative interactions. Assists in the coordination of daily workflow and the resolution of complex, highly sensitive, and confidential matters. Provide organizational planning and problem-solving skills. This is a full-time, in-person position located on Tarleton's main campus in Stephenville, Texas. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate. Serves as Campus Security Authority (CSA).

Requirements

  • High school diploma or equivalent combination of education and experience.
  • Five years of general clerical or office experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Effective verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Ability to multitask and work cooperatively with others.
  • Ability to work with sensitive information and maintain confidentiality.

Responsibilities

  • Coordination of Personnel Services and Activities: Coordinates all paperwork for hiring Stephenville departmental faculty; Assists with departmental tenure packets; Coordinates EPA's for adjunct faculty in Stephenville, Waco and Fort Worth. Supervises student workers; Assigns work and scheduling hours; Responsible for payroll review for adjunct faculty, faculty and graduate assistants.
  • Administrative Support of Department Head, Faculty, and Students: Maintains and coordinates semester reports and small class justifications; Assists as necessary with class preparation such as copying tests, proctor exams; Responsible for completing paperwork for departmental exams and submitting documents to Registrar’s office; Schedules classrooms; Assists program coordinator(s) and department head with advising, registering, and record-keeping needs for non-traditional degree program students. Assists with class schedules and room assignments each semester for Stephenville, Waco, and Fort Worth; Verifies with faculty members to ensure all grades are entered each semester in Stephenville, Waco, and Fort Worth; Interacts as department liaison with faculty and staff at Tarleton State and off-campus employees in Waco, and Fort Worth; Interacts with University faculty and staff in various departments, including COB; Supports Dean's office with all seminars, luncheon meetings. Must be able to help hire, train, and supervise student workers graduate assistants, and support staff. Assist department head and faculty with travel arrangements and reimbursements.
  • Coordination of Office Activities: Responsible for departmental inventory records and surplus transfer; Responsible for purchasing all office supplies; Orders desk copies and supplemental material for faculty use in Stephenville, Waco, and Fort Worth; Maintains copier contracts, ordering of copier supplies and calling for repair services. Complies with all State, System, and University regulations; Responsible for shredding confidential files including student/faculty records; Reports all equipment and classroom problems to College of Business.
  • Performs other duties as assigned by the Department Head, Faculty, and Dean.
