About The Position

The NC African American Heritage Commission (NCAAHC) seeks a highly organized and detail-oriented Administrative Assistant to support our division. The Administrative Assistant provides critical administrative support to NCAAHC and serves as administrative support to the NCAAHC Director and other staff, as needed. Provides administrative and technical support for division programs and meetings, including logistics and travel arrangements. Management and organization of division paperwork and forms. This includes but is not limited to travel forms, requests for assembly, procurement logs, processing invoices, and drafting and monitoring contracts. In partnership with the NCAAHC Director, assist in managing the organizational budget. Maintains and manages organizational supplies and procurement orders. This includes keeping an inventory and executing orders using state procurement guidelines. Supporting NCAAHC in maintaining and sharing information. This includes connecting with constituents, updating and monitoring internal databases, documenting and distributing meeting minutes, and support on division newsletters. Must be able to lift 50 lbs.; bend, reach, climb a step ladder, load supplies onto carts and into and out of vehicles. Some travel, night and weekend work is required.

Requirements

  • High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.

Nice To Haves

  • Demonstrated experience in planning the logistics of meetings, conferences, workshops and/or other small and large events.
  • Demonstrated experience in customer service.
  • Demonstrated experience using automated standard office equipment and other technology including computer, printer, copy machine, and Microsoft Office Suite.
  • Ability to work independently and must be able to organize and prioritize work to meet necessary deadlines.
  • Able to communicate well verbally and in writing
