About the position

This position reports directly to the Medical Director. Will provide and coordinate a variety of clerical, human resource, and administrative tasks necessary for the effective management of the healthcare complex. Duties for this position include but are not limited to: Frequent changes in priorities and requires flexibility and adaptability. Manages personal data, ensures compliance with medical policies and procedures and uses various databases for maintaining information. Responsible for such tasks as entering timesheets, maintaining, and updating files and records, daily communication with staff. Hiring processes. Responsible for on-boarding contract staff, interns, residents, etc. Reviewing and auditing provider supervision agreements. Office operations and the composition of written communication procedures. Candidates must possess excellent oral, written, and organization skills, and will be responsible for compiling data and creating spreadsheets to meet operational needs.

Responsibilities

  • Provide and coordinate clerical, human resource, and administrative tasks.
  • Manage personal data and ensure compliance with medical policies and procedures.
  • Enter timesheets and maintain/update files and records.
  • Communicate daily with staff.
  • Oversee hiring processes.
  • On-board contract staff, interns, residents, etc.
  • Review and audit provider supervision agreements.
  • Manage office operations and written communication procedures.
  • Compile data and create spreadsheets for operational needs.

Requirements

  • Documented experience in a similar role working under executive management/leadership in a medical environment.
  • Documented experience creating and/or maintaining reports for staffing, supplies, time management, etc.
  • Documented experience scheduling appointments and managing a schedule for upper management.
  • High school or GED diploma and one year of administrative experience, or equivalent combination of education and experience.

Nice-to-haves

  • Experience with systems such as FIORI or other similar HRIS systems, OPUS and/or HERO.
  • Prior executive administrative experience in a hospital, institution, or other state agency.
  • Working knowledge with medical terminology.
