Position Summary : The Administrative Associate, Business Operations will be an integral part of the medical collaborations and operations team. He/she will be accountable for executing key administrative functions to ensure the smooth operation of key projects and initiatives, as well as overall compliance. Principal Duties and Responsibilities include the following : Operational Tasks Draft and facilitate the execution of contracts with external clients and consultants while ensuring compliance with company policies and regulations Manage and compile timesheets for key consultants to verify accuracy and facilitate timely payments for services rendered Maintain comprehensive records of executed agreements and payments made to consultants for internal and external audits Assist in drafting objectives for advisory boards and committee meetings to demonstrate a clear business need Submit requests for purchase orders, generate and issue check requests, verify billing details and resolve any discrepancies, and follow up on outstanding invoices Assist with conference registration and associated logistics, such as securing meeting space Documentation of all details for internal reference Other Demonstrate the values of Ocular Therapeutix Collaborate with industry key opinion leaders Work cross-functionally with colleagues in finance, legal, regulatory, clinical operations, etc. as needed Other duties as assigned May oversee the work of external consultant(s) and/or manage vendor(s)

Requirements

  • Bachelor’s degree in health-related or scientific discipline or commensurate experience preferred
  • Strong organizational skills, with a keen-eye for accuracy, and the ability to thrive in a fast-paced environment
  • 1+ Years’ experience in medical affairs/collaborations or related fields
  • Excellent technical skills, including fluency with Excel, PowerPoint, Word, Microsoft TEAMS
  • Ability and willingness to learn new systems/applications
  • Experience with actively managing and tracking multiple complex projects in a fast-paced environment.
  • Flexible, supportive, adaptable to change, and “can do” attitude is crucial to success.
  • Strong communication skills, relationship-building capabilities, and experience working in a cross-functional environment
  • Solution-oriented teammate who brings a collaborative approach to working with internal colleagues and external partners

Nice To Haves

  • Experience in the ophthalmic space preferred, but not required
  • Experience in project management or operations preferred, but not required

Responsibilities
