About The Position

The Administrative Associate 3 provides administrative/secretarial support to the Department of Occupational Therapy within the College Health Professions which includes administrative, fiscal, academic, and student affairs activities necessary for operation within the department

Requirements

  • High School Diploma or GED. (Bachelor’s preferred). (TRANSCRIPT REQUIRED)
  • Four (4) years of administrative support or clerical experience; OR Associate’s Degree and two (2) years of administrative support or office related experience.
  • Strong public relations and interpersonal skills with the ability to communicate effectively (both written and oral) with executives, upper administration, faculty members, vendors, employees, students, and prospective students.
  • Ability to gather and document data, analyze data, draw conclusions from data and present best working practice models for evaluation.
  • Ability to coherently present departmental and student data via digital/web, and graphic (e.g., power point) mediums to a variety of constituents.
  • Ability to take initiative and demonstrate creativity in dealing with difficult circumstances.
  • Strong organizational and planning skills to handle multiple, time-sensitive responsibilities, set priorities independently, and meet deadlines.
  • Advanced knowledge of and proficiency using Microsoft Office, particularly Word, PowerPoint, and Excel.

Responsibilities

  • Provides clerical and administrative support to the Department of Occupational Therapy.
  • Assists with collating and preparing fieldwork site data and student scores for analysis as required for accreditation purposes.
  • Maintains the budget including timely reporting; reconciles department ledgers and grants.
  • Organize, proofread, and edit program materials, letters, and other correspondence.
  • Answers questions regarding due dates and deadlines, program objectives, clinic information, schedule, and enrollment information using information from the website, program brochures, and faculty updates.
  • Ensures that all monthly and bi-weekly time is entered and approved before the deadline for each pay period.
  • Works with the chair to communicate budget items, obtain approvals and signatures, and keep track of monthly and annual expenditures.
  • Assists with collating information about the fieldwork site for site review; assists with onboarding procedures for students in preparation for fieldwork placements.
  • Process payments for clinical faculty in a timely manner.
  • Provides administrative support for the admissions process.
  • Performs other duties as assigned.
