About The Position

The Administrative Associate 3 performs a variety of complex administrative and support duties in the Department of Obstetrics and Gynecology. This position performs data input transactions into Dynamic Administrative Systems Higher Ed (DASH)/Oracle, such as time entry, managing the supply ordering process, and processing accounts payable. Responsibilities Processes all departmental and grant-related invoices. Maintains accounts receivable. Processes travel in DASH/Oracle, faculty appointments and reappointments, visa and green card applications, and hiring paperwork. Completes the annual space and inventory report; handles various inventory matters such as new assets / UT tag numbers. Assists the Assistant Director and Director with personnel needs, staff training, budgetary matters, space needs, short- and long-term planning, etc. Handles departmental equipment check-out procedures and maintains related files. Performs administrative functions such as handling telephone communications, composing routine letters and emails, sorting and distributing mail and documents, operating office equipment, and maintaining office files. Enters additional pay information as necessary. Performs other duties as assigned.

Requirements

  • High School Diploma or GED. (TRANSCRIPT REQUIRED)
  • Four (4) years of related work experience; OR Associate’s Degree and two (2) years of related work experience; OR Bachelor’s Degree in lieu of experience.
  • Ability to manage time and work on multiple tasks simultaneously.
  • Ability to maintain confidentiality.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to think and work independently as well as collaboratively.
  • Knowledge of Microsoft Office.
