About The Position

The Administrative Assistant position at the Georgia campus of the Philadelphia College of Osteopathic Medicine (PCOM) is designed for a highly qualified individual to support the Assistant Deans for Student and Professional Affairs and Assessment and Program Quality. This role is integral to the mission of the School of Pharmacy, focusing on administrative tasks, correspondence preparation, budget management, and meeting coordination. The position is non-supervisory and reports to the PCOM Pharmacy Office Manager.

Requirements

  • High school diploma or GED required; Associates or Bachelor's Degree in business administration or similar discipline preferred.
  • A minimum of two years' experience as an administrative assistant in a fast-paced office, preferably in a college or university environment.
  • High level of computer proficiency in word processing, spreadsheet, presentations, email, and virtual meeting applications, preferably on Google Workspace or Microsoft 365.
  • Proficiency in Microsoft Word, Excel, and PowerPoint is required.
  • Strong planning and organizational skills.
  • Strong communication skills, including written, verbal, and interpersonal.
  • Strong collaboration skills.

Nice To Haves

  • Experience using Banner and Blackboard preferred.
  • Prior experience in pharmacy practice and Experiential Education is a benefit.

Responsibilities

  • Assists the Assistant Dean for Student and Professional Affairs and Assistant Dean for Assessment and Program Quality.
  • Prepares correspondence, reports, memoranda, and technical papers for department staff as requested.
  • Assists in managing the annual budget for the department.
  • Maintains established departmental policies and procedures.
  • Composes letters and memoranda from dictation or verbal direction.
  • Schedules and coordinates meetings, including travel and lodging arrangements as necessary.
  • Organizes major meetings, distributing materials, arranging refreshments, and preparing name tags.
  • Provides assistance in the day-to-day administration of SOP Student and Professional Affairs and Assessment and Program Quality.
  • Enhances professional growth through participation in educational programs and workshops.
  • Performs other related duties as assigned by the Assistant Deans or Office Manager.
  • Reads and routes incoming mail, answers telephones, and provides routine information to callers.
