The WPPA Administrative Assistant provides administrative and office support to the Senior Vice President, Vice Presidents, and Directors in the Department of Ambulatory & Physician Services. This role is crucial in ensuring the smooth operation of the department and requires a proactive approach to managing various administrative tasks. The Administrative Assistant will be responsible for a variety of essential functions including providing secretarial support, maintaining multiple calendars, scheduling appointments, and coordinating meetings. The role also involves processing check requests, managing time sheets, and initiating IT service requests for new physician practices. The assistant will act as a gatekeeper for contracts related to physician practices and will assist with the preparation of checks and maintaining records of payments. Additionally, the position requires posting job requisitions and training new office managers, ensuring that all administrative processes are followed efficiently. The ideal candidate will possess strong communication skills, the ability to multitask in a fast-paced environment, and a commitment to maintaining confidentiality. This position requires a high level of organization and the ability to work independently while supporting senior management. The Administrative Assistant will also be expected to maintain a professional demeanor and exhibit a courteous attitude at all times, contributing to the overall positive work environment at White Plains Hospital.
