The position involves welcoming patients to the office and completing the check-in process by verifying patient identity, address, and ensuring that accurate insurance and all other demographics are loaded in the Epic EMR system. The role requires ensuring prior authorizations for visits are in place before patients are seen, obtaining required signatures, and collecting co-payments. Additionally, the position involves balancing daily payment entries against daily computer totals for all activities on patient accounts and discussing balances with patients at check-in and/or check-out time. The individual will also schedule follow-up and/or referral appointments at patient check-out and manage No Show appointments to ensure patients are not lost to follow-up. The responsibilities extend to answering phones and managing communications with patients, providers, staff, insurance companies, and other outside entities. Effective communication and accurate documentation via the Epic EMR system are essential for relaying messages to Physicians and the Patient Care team. The role includes managing patient schedules, incoming and outgoing referrals, obtaining insurance authorizations for special testing, and working the Epic work queues while following up with outside offices to ensure patients receive their appropriate appointments. The individual must demonstrate good verbal and nonverbal communication skills, scan and monitor incoming faxes, and perform other miscellaneous administrative tasks as assigned by the supervisor. Ensuring a clean and safe environment for patients and staff, maintaining patient confidentiality, and managing patient records according to HIPAA and regulatory requirements are also key responsibilities. The role may involve working with CIOX on timely release of information requests and performing other duties as assigned within the scope and standards of practice.
