About The Position

The position involves performing various secretarial duties for the department manager, which includes filing, answering phones, taking messages, arranging conference calls, scheduling meetings, handling information requests, making travel arrangements, and other similar tasks. The role also encompasses clerical duties such as typing, copying, and taking minutes at meetings. Additionally, the position requires orienting visitors to the department and/or facility, distributing daily mail, and maintaining a filing system that includes databases. The individual will answer telephone calls and assist the general public with information about the department and/or facility. Responsibilities also include preparing summaries and reports, assisting with month-end close, reviewing and printing reports, and performing daily revenue audits for revenue-generating departments. The role involves assisting in the reconciliation of accounts payable, vendor statements, loans, and various accounts as needed, as well as completing special projects and related duties as assigned by the department manager. The individual will develop and maintain current office procedures and may train, coordinate, and/or supervise other office or clerical staff. Other duties may be required as necessary.

Requirements

  • Associates Degree (AA) or equivalent combination of education and experience.
  • One to two years of administrative experience.
  • Regular and reliable attendance.
  • Intermediate to advanced computer skills including Microsoft Word and Excel.
