The Administrative Assistant provides a wide variety of administrative support to the Real Estate & Facility Management team. This position is full time, Monday - Friday. Employees are required to have flexibility to work any of our shift schedules during our normal business hours of 8:00 AM - 5:00 PM CST. It may be necessary, given the business need, to work occasional overtime. We offer 1 week of paid on-the-job training. The hours of training will be aligned with your schedule.

Requirements

  • High School Diploma OR GED
  • Must be 18 years of age OR older
  • 2+ years of administrative support experience
  • 1+ years of customer service experience
  • Proficient with Microsoft Office applications including Microsoft Word, Microsoft Excel spreadsheets, Microsoft PowerPoint / graphics, and Microsoft Outlook email application
  • Ability to work any of our shift schedules during our normal business hours of 8:00 AM - 5:00 PM CST from Monday - Friday. It may be necessary, given the business need, to work occasional overtime.

Nice To Haves

  • Experience in facility management OR property management
  • Bilingual language proficiency in English and Spanish
  • Customer service background

Responsibilities

  • Assists with meeting scheduling and taking of minutes assigned
  • Routes documents for proper signatures and ensures transmittal of documents to appropriate persons
  • Works with UHG team to facilitate provided corrections to lease information in Lease Management System
  • Coordinates provision of certificates of insurance and distributes appropriately
  • Facilitate collection of security deposits and tenant allowance as directed
  • Creates and utilizes document templates to provide / distribute communications as directed
  • Monitors Property Management e-mail box and distributes mail accordingly
  • Assist with monitoring critical lease dates
  • Assists with tracking of safety training and Occ Health programs for staff
  • Performs all other related duties as assigned
