As an Administrative Assistant at DXP, you will play a crucial role in supporting the operational efficiency of our team. Your primary responsibilities will include confirming a large volume of vendor shipment invoices to bill customers accurately. You will also be tasked with processing vendor acknowledgments for Purchase Orders, ensuring that all information is correct and adheres to our written process control. Additionally, you will expedite Purchase Orders as per documented processes and at the request of Customer Service Representatives, while following up on special acknowledgments and red Purchase Orders. Communication is key in this role, as you will need to address any invoice and acknowledgment discrepancies with the buyer of the Purchase Order. You will operate telephone equipment, referring incoming calls to the appropriate personnel, and take and relay messages for the Regional Vice President. Your duties will also include receiving visitors and providing information over the phone, as approved by your supervisor. In addition to these responsibilities, you will perform general office and clerical duties such as daily filing of customer orders, typing, faxing, preparing invoices, stuffing envelopes, and photocopying. You will also be responsible for opening and dispersing incoming mail. This position requires a proactive attitude, excellent communication skills, and the ability to multitask while maintaining attention to detail and deadlines.
