About The Position

The Administrative Assistant - Private Investments at The Larko Group plays a pivotal role within a Financial Services firm, specifically focusing on private investments. This position is crucial for orchestrating activities across various corporate functions and driving the execution of critical internal processes. The successful candidate will be responsible for organizing complex information, managing high-value relationships, and tracking investment performance. Reporting directly to the COO, the ideal candidate will possess a keen eye for detail, exceptional organizational skills, and the ability to handle sensitive information with discretion. This role is designed for someone eager to make a meaningful impact in a dynamic and fast-paced environment. In this role, you will be tasked with ensuring the fluid execution of multiple processes, which includes developing and managing agendas for weekly Investment Team meetings and accurately recording minutes. You will also manage scheduling and documentation of tasks while keeping track of deadlines. Coordination with the legal and finance departments is essential to ensure the completion of transaction-related documents. Additionally, you will verify that all internal requirements are met during investment closing processes, ensuring adherence to company best practices. Improving and documenting investment processes and workflow status will also be part of your responsibilities. You will be responsible for organizing file storage and investment reporting materials across existing investment portfolios, managing the CRM platform by recording and updating it with investment activities, and generating internal reports on a monthly, quarterly, and annual basis. Executing queries within the platform for analysis and insights will be a key function of this role. Anticipating meeting needs, including securing options for space, technology resources, and food and beverage service, as well as providing guest access to the building, will also be part of your duties. Furthermore, you will manage calendar and travel arrangements for team-related meetings, provide operational support for the VP Investments and Managing Director, and handle routine correspondence on behalf of the executive office. Acting as a liaison between the investment team and other departments will ensure effective communication and collaboration, while also liaising with clients, portfolio companies, service providers, and other Family Offices. Lastly, you will act as backup support for any additional office needs for other Senior Leadership members.
