Requirements

  • Associates degree
  • 3+ years’ experience in an administrative role
  • Demonstrates strong proficiency and confidence working across various platforms and operating systems including Microsoft Office Suite and Redtail
  • Demonstrates exceptional organizational skills by efficiently managing multiple requests and prioritizing time sensitive tasks
  • Excellent communication; written and verbal
  • Exhibits meticulous attention to detail and a commitment to accuracy
  • Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
  • Collaborative team player willing to assist others
  • Embraces change and adapts quickly in a dynamic environment
  • Possesses a positive attitude and willingness to learn
  • Self-starter who takes initiative and works well independently

Nice To Haves

  • Financial industry experience is a plus

Responsibilities

  • Answer phones and greet clients in a friendly, positive, and warm manner
  • Be the first point of contact for prospects and clients
  • Set appointments with clients and assist the Advisor with calendar management
  • Prepare conference rooms for client meetings
  • Maintain the firm’s CRM (Redtail) through accurate data entry and database management
  • Ensure Advisor is well-organized and prepared for client meetings
  • Maintain office filing system, both paper and electronic
  • Order supplies, manage inventory, process mail and deliveries
  • Contact attendees to confirm their RSVPs for upcoming events and seminars
  • Assist in event preparation by creating and managing marketing collateral, and ensuring all necessary materials are ready and available
  • Attend seminars and client events, check in attendees, and ensure seamless event experiences
  • Build relationships with prospects and clients through regular phone interactions and consistent follow-up after events and seminars
  • Assist clients with issues and concerns
  • Other industry-specific tasks as needed
