POSITION SUMMARY: The Administrative Assistant is responsible for supporting the tax department across the firm with tax preparation and filings. The Administrative Assistant also plays a vital role in the AR and collections process for the firm and general administrative support for the team.

Requirements

  • High school diploma or equivalent
  • 2+ years of administrative assistant or equivalent related experience
  • Advanced computer literacy, including proficient use of all Microsoft Office products
  • Valid driver’s license and safe driving record
  • Process oriented with strong organizational skills and the ability to handle multiple responsibilities and meet deadlines

  • Excellent interpersonal, oral, and written communication skills
  • Ability to organize and plan workflows with minimal supervision

Responsibilities

  • Assists in tax processing, including information gathering, scanning, organization, and project management for the Dayton and Columbus offices.
  • Processes and remits tax returns and extensions via e-filing or paper filing for the Dayton and Columbus offices.
  • Creates and ensures accurate processing of mailings and other shipped items for the tax department.
  • Assists with preparation of engagement letters and tax busy season planning such as tax organizers. Includes management of Excel spreadsheets and client fees.
  • Processes firm-wide daily bank deposits.
  • Oversee firm-wide AR reporting, and collections report.
  • Assists with firm-wide monthly billing process as needed.
  • Serve as the first point of contact by managing the front desk in the Dayton office, greeting clients, and ensuring a professional and welcoming environment.
  • Assists with answering and directing all incoming telephone calls to appropriate parties in a professional and courteous manner, using a multi-line phone system.
  • Assists with keeping fax folders up to date.
  • Provide general administrative support to all departments of the firm. Including, but not limited to, scanning/faxing, file maintenance, mail support, client meetings, tech support, and anticipating needs of team-members.
  • Participates in Firm committees and activities.
  • Promotes the Firm positively in the community and through professional organizations involvement.
  • Performs other duties as assigned.
