Our company is looking for an administrative assistant to support the sales teams by expediting materials and completing weekly reports.

Requirements

• General understanding of accounting or finance principles
• Good working knowledge of MS Office applications (e.g. Excel, Word, Outlook)
• Have the confidence to escalate and ask questions
• Ability to perform at high levels in a fast-paced, ever-changing work environment and adapt to changing priorities and work demands
• Strong organizational skills

Responsibilities

• Monitor and print invoices from email, distribute as necessary to other sites, and process invoices for company check run schedule.
• Identify incorrect charges, verify, and create appropriate adjustments within the system.
• Respond to vendor payment status inquiries.
• Scan & upload daily vendor invoices.
• Help with invoicing customers.
• Filing A/P: Vendor invoices, PODs, BOLs, packing slips, MTRs, credits, freight bills
• Assist Sales Staff with customer inquiries concerning documentation.
• Match shipping paperwork for customer’s invoices, sent by corporate.
• Assist with inventory reconciliations in excel for outside yards.
• Vendor Credit
• Maintain and replenish site office supplies.
• Scanning MTRs into the system
• Will be backup for the Accounting Specialist
