Requirements

  • High school diploma or General Education Degree (GED), 0-3 years of related administrative experience, or an equivalent combination
  • Notary Public licensure or the ability to be trained and licensed as a Notary Public
  • Proficient with Microsoft Office Suite
  • Experience in customer service (face to face and/or through telecommunications)
  • Communications skills, both oral and written; accurate, clear and concise

Nice To Haves

  • Relevant construction industry experience (preferred)

Responsibilities

  • Provide administrative support to the business and/or assigned division: schedule multi-attendee meetings, process mail, assist with correspondence, make copies, maintain standard department materials and manage distribution.
  • Support a variety of clerical related tasks for the company and/or division.
  • Job Set-Up and Close Out: Certificates of Insurance, Bonds, Change Orders
  • Facilitate vendor billing: internal invoices and tracking/management of payment status.
  • Check and prepare invoices for approval, route to Accounts Payable for payment.
  • Maintain and track payment status and complete follow up work.
  • Perform transactional data entry into systems with a high degree of accuracy.
  • Scan, organize, and file documents.
  • Assist with new hire orientation; prepare workspace, assist with training.
  • Notarize appropriate documents
