About The Position

We are seeking are seeking a proactive, professional, friendly and highly organized Executive Assistant in our Private Bank office in New York, NY. The incumbent will be responsible for providing high level administrative support for the Regional Market Executive and broader team support. Responsibilities may include, but are not limited to: coordination of meetings, calendar and inbox management, ordering of supplies and/or equipment, new colleague onboarding, payroll for staff eligible for overtime, and overtime/expense reports. Incumbents will spend substantial time performing administrative support duties and projects as needed. Position requires excellent organizational skills, and the ability to handle multiple tasks simultaneously. Support responsibilities may include data input, data processing and / or data verification for routine processes, tracking and distribution of related materials, etc. Primary responsibilities include Manage multiple projects simultaneously/in a timely manner. Coordinates internal/external meetings, events, conference calls, and domestic travel. Schedule management. Displays excellent communication skills in working with clients (internal/external), and vendors. Accurately tracks expenses/process and submit expense reports in a timely manner. Distributes agenda, meeting packages, and responsible for meeting minutes. Other duties or special projects as assigned.

Requirements

  • Strong interpersonal skills — friendly, calm, and customer‑focused.
  • Highly organized with strong attention to detail and the ability to anticipate office needs independently.
  • Comfortable managing multiple tasks and shifting priorities throughout the day.
  • Proficiency with Microsoft Outlook, Teams, Word, Excel; ability to learn internal systems quickly.
  • Professional presence with excellent verbal communication skills.
  • Ability to remain composed during busy periods and handle unexpected issues efficiently.
  • Reliable, punctual, and committed to supporting a high‑quality workplace environment.
  • Bachelor’s Degree preferred; 2+ years of relevant administrative or similar experience supporting executive level leadership
