About The Position

TekPro Support Services, LLC (TSS) is a Government Consulting and Contracting firm supporting federal agencies and military installations throughout the world. We are currently seeking an Administrative Assistant to support our new mission in Philadelphia, PA supporting the Department of Homeland Security. FPS is the security and law enforcement component of the Department of Homeland Security which is responsible for protecting federally owned or leased facilities. The FPS mission is to provide a safe environment in which Federal agencies conduct their business without fear of violence, crime, or disorder. What You'll Do: The Administrative Support Specialist provides comprehensive administrative, clerical, and program support for FPS Region 3 by independently managing office operations, records management, tasking systems, payroll processing, travel coordination, special reporting, fleet and alarm account oversight, FOIA intake and tracking, and contractor administrative supervision. The duties include, but are not limited to the following: Serves as a central liaison between Regional leadership, Headquarters, contractors, and stakeholders by maintaining and monitoring automated systems, assigning and tracking tasks through the FPS HQ CATT system, coordinating meetings and conferences, preparing agendas, minutes, and reports, and managing both electronic and hardcopy regional files. Supports the Regional Director and Deputy Regional Director by preparing and tracking travel plans in Concur, compiling and submitting approved reports, and maintaining official signed documentation.Serve as the Regional FOIA Point of Contact, establishing deadlines and preparing formatted responses to Headquarters; acting as Payroll POC by auditing timecards, processing payroll data, maintaining records, and providing system support; coordinating Federal employee travel; managing records retention and office supply inventories; overseeing GSA fleet activities; maintaining regional databases; supporting the Protective Security Officer (PSO) program and contract administration; preparing funding and cost estimate documents; and tracking fund availability. The position also serves as Team Lead for the task order contractor administrative staff, ensuring efficient workflow, compliance with procedures, and high-quality administrative support across Region 3 operations. What You Bring: Demonstrate proficiency in Microsoft Window based computer software and be familiar with basic computer programs to include Microsoft Office Suite.Accurate spelling, typing and attention to detail are necessary.Must have ability to compile and organize reports.Contractor shall use conventional office equipment and associated supplies provided by the Government (desk, filing cabinets, telephone, facsimile, PC computer system, intercom system, photocopier, paper, pens, pencils, staples etc.). Requirements

  • Demonstrate proficiency in Microsoft Window based computer software and be familiar with basic computer programs to include Microsoft Office Suite.
