About The Position

As Administrative Assistant to the Executive Director (ED), you will be responsible for providing overall executive-level coordination, scheduling, and logistical support to the Executive Director in all aspects of her daily activities. The ideal candidate is energetic, detail-oriented, flexible, thrives in a fast-paced environment, professional and discreet, and has strong interpersonal skills along with excellent written and verbal communication skills. This position will report to the Special Projects Manager and is a key member of the Executive Office.

Requirements

  • 1+ years of relevant experience.
  • Technologically savvy. Experience with Google Workspace, Slack, Asana, Outlook is a plus.
  • Comfortable and discreet handling confidential information.
  • Strong writing and editing skills.
  • Ability to prioritize and manage multiple tasks with competing deadlines.
  • Interest in contributing to a growing, mission-driven Jewish nonprofit and enthusiasm for learning how different parts of the organization work together.

Responsibilities

  • Manage complex, high-volume scheduling and travel arrangements for the Executive Director, including donor meetings, program and partner meetings, board meetings and committee meetings.
  • Protect and optimize the ED’s time by sequencing requests and managing flow, in coordination with the Special Project Manager.
  • Complete expense reports and reimbursements in a timely fashion.
  • Manage Executive Director’s inbox, including filing and organizing emails, managing correspondence, drafting communications and coordinating timely and appropriate responses.
  • Support internal operations by assisting with file organization, task management, and invoice tracking.
  • Collaborate with the Director of Operations to ensure consistency in documentation and workflows.
  • Support maintaining internal meeting rhythms by preparing agendas, taking notes as needed, and tracking follow-up items.
  • Ensure ED has access to briefs, agendas, donor profiles, donor packets, and materials for upcoming meetings and speaking engagements.
  • Assist with preparation of materials for programs, convenings, internal meetings, and donor meetings.
  • Collaborate with the Director of Development and Communications to support, track, and maintain records of fundraising work and materials to ensure the ED and organization are prepared for success.
  • Provide administrative support to Special Projects Manager for high-priority, cross-organizational projects, and board meeting logistics.
  • Serve as an administrative liaison between the Executive Office and Programs, Development, and IdeaLab.
  • Help manage internal communication flow between the Executive Office and other teams, ensuring clarity, timeliness, and alignment.
