The Department of Administration has an Administrative Assistant opening in Topeka. The incumbent in this role will serve as the receptionist for the Office of Personnel Services and provide administrative support to the KeyCard Desk.

  • This position performs administrative support to the administrator of the KeyCard system.
  • Schedules appointments for employees needing to obtain an ID badge as a new employee, or replace/update an existing badge.
  • Maintains stock of supplies and materials.
  • Develops and maintains working relationships with agency officials to become knowledgeable of keycard problems and issues.
  • Maintains files and documentation related to the KeyCard system.
  • Serves as the face for the Office of Personnel Servies by greeting customers, identifying the purpose of their visit, answering questions, providing information, and serving their needs.
  • Answer, screen and route phone calls, may include multi-line phone systems.
  • Receive, sort, and distribute incoming mail and prepare outgoing mail. Including weighing, stamping and sorting materials.
  • Sort, file, retrieve and purge KeyCard Desk records and materials.
  • Performs miscellaneous duties or special projects as needed or requested. Serves as the backup for the KeyCard Desk Administrator.
  • One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
  • High school diploma or GED equivalent.
  • Ability to understand and follow verbal and written instructions; read and comprehend written materials; operate personal computers and office equipment; use word processing, spreadsheet and database applications; establish and maintain effective working relationships; communicate effectively both verbally and in writing.
  • Ability to bend, lift lightweight materials up to 40 lbs, stoop and sit for long periods of time, and move in confined areas.
  • Must submit to and pass a thorough background check.
