About The Position

Lilac Center is hiring an Administrative Assistant to lead front-office operations in Topeka, KS. This position requires a multitasking professional capable of managing phones, scheduling appointments, and maintaining accurate patient records with a high level of detail. Success in this role depends on a solid foundation in outpatient therapy procedures, including proficiency in insurance verification and electronic medical record management. The Lilac Center is a leading outpatient mental health practice dedicated to helping individuals overcome emotional and behavioral challenges through compassionate, evidence-based care, focusing on Dialectical Behavior Therapy (DBT) and integrated treatment approaches. They support clients in building skills for emotional regulation, distress tolerance, mindfulness, and healthier relationships, working with adolescents and adults across multiple locations in Kansas and Missouri. The center provides individual therapy, group skills training, intensive outpatient programs, medication management, and comprehensive support. Requirements

  • Minimum of 2 years recent experience as a medical office receptionist with patient scheduling, and insurance verification and collections
  • Previous experience with electronic health record programs
  • Remain flexible and have the ability to adjust to work environment at the moment
  • Skill in working with a variety of cultures
  • Skill in working independently and implementing time management strategies
  • Ability to demonstrate positive team interactions with other Lilac Center staff
  • Strong planning and time management and organizational skills
  • Management of work processes along with strong computer skills for scheduling and documentation
  • Perform and prioritize multiple functions and tasks
  • Conserve materials and supplies to maximize resources available
  • Maintain clean and tidy office environment and common areas
  • Work as a team player and support other clinical and admin staff
  • Ability to provide necessary self-care

Responsibilities

  • Answer phones, route calls, schedule appointments and respond to inquiries
  • Optimize provider's time by confirming appointments and following up with clients as needed
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information
  • Obtains revenue by recording and updating financial information; recording and collecting patient charges; filing, collecting, and expediting third-party claims
  • Keep patient appointments on schedule by notifying provider of patient's arrival and reminding provider of service delays
  • Ensure availability of treatment information by filing and retrieving patient records
  • Helps patients in distress by responding to emergencies
  • Protects patients' rights by maintaining confidentiality of personal and financial information per HIPAA guidelines
  • Maintains operations by following policies and procedures; reporting needed changes
  • Contribute to team effort by accomplishing related duties as needed
  • Participate in quality improvement initiatives
  • Maintain office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies
  • Maintain the reception and common areas in the office
  • Attend and record meeting minutes
  • Implement and maintain the Lilac Center’s mission, principles, and procedures as outlined in Employment Handbook in all facets of performance
  • Be aware of community referral sources and help make referrals when necessary
  • Actively participate as a positive member of the Lilac Center team
  • Fully participate in staff development opportunities offered to enhance professional growth or performance skills
  • Perform other duties as assigned (including but not limited to completion of disability forms, insurance pre-authorization forms, billing forms, and phone calls)
